Privacy Statement & GDPR for Annual Pass Holders, Customers and Contacts of Leonardslee Wine Estate and Leonardslee Lakes & Gardens

Leonardslee House and Gardens (Clarbow Ltd t/a – the data controller) is committed to protecting personal data. This privacy statement describes why and how we collect and use personal data and provides information about individuals’ rights. It applies to personal data provided to us by individuals themselves.

Collection and use of personal data

Our policy is to collect only the personal data (which is any information relating to an identified or identifiable living person) necessary for agreed purposes. This data is typically restricted to contact details, bank details (for those of you who pay us via direct debit), visiting history, purchasing history and a history of our relationships (e.g. how long a member, when you use our facilities) and it includes information collected about you when you use our site such as IP address and mobile device identifiers.

We use personal data for the following purposes:

to provide our services/allow our members and customers to make the fullest use of our facilities
to administer, manage and develop our businesses and to provide information that we think will be of interest
to comply with any requirement of law or custom, in particular retention of information for HMRC and purposes

We do not share this information with any persons outside of our group of companies (please note that our group of companies does include businesses in South Africa all of which are subject to the same high level of protection as within the EEA) although:

a) we do use third parties to support us in providing our services such as providers of information technology, cloud based software, data back-up, order fulfilment, payment processing and security. All such servers are located in secure data centres around the world, and personal data may be stored in any one of them;
b) we may need to share the information with our advisers and any specific body to whom we are accountable (e.g. HMRC, our external auditors).

Data retention

We retain the personal data processed by us for as long as is considered necessary. Our retention period for records is largely driven by HMRC requirements so we keep records for at least 7 years.

Your rights

You have a number of rights relating to your information e.g. to see what we hold, to ask us to share it with another party, to ask us to update incorrect or incomplete details, to restrict processing and to make a complaint.

Terms & Conditions: Casks & Vines Prize Draw

To enter, either follow @leonardsleefamilyvineyards on Instagram and comment CASKSANDVINES on the official competition post, or purchase a ticket to the Casks & Vines event taking place on 21 August 2026. By completing either entry method, entrants will be entered into the prize draw.

Leonardslee Wine Estate will publish the competition on Instagram. The promotion may also be referenced in email newsletters and other marketing materials directing users to the competition.

Any instructions provided in the competition post form part of these Terms and Conditions. In the event of any conflict, these Terms and Conditions take precedence.

Employees of Leonardslee Wine Estate, Mannings Heath Golf Club, Leonardslee Lakes & Gardens, Ole Bison, and any participating partners or suppliers involved in the promotion, together with their immediate families, are not eligible to enter.

No responsibility can be accepted for entries not received for any reason.

Entrants using the free Instagram entry route must have a public Instagram profile for the duration of the competition period so that entries can be verified and winners contacted. Leonardslee Wine Estate accepts no responsibility if a winner cannot be contacted due to privacy settings or message restrictions.

Failure to meet the eligibility requirements may result in forfeiture of the prize. Leonardslee Wine Estate reserves the right to reject entries that are deemed fraudulent, incomplete, or not entered into the spirit of the competition.

The competition will run from the date the competition post is published and close at 23:59 on Wednesday 19 August 2026.

Entrants may enter the competition from the time the competition post is published until the closing date and time stated above.

There are two methods of entry. One (1) free entry may be obtained by commenting CASKSANDVINES on the official Instagram competition post. Alternatively, anyone who books a ticket for the Casks & Vines event will automatically receive one (1) entry into the prize draw. Purchasing more than one ticket does not result in additional entries.

Prizes: Thirteen (13) winners will be selected at random from all valid entries.

The prizes consist of:

Three (3) bottles of Ole Bison Bourbon.

Five (5) Ole Bison branded baseball caps.

Five (5) Ole Bison branded shirts.

Prize allocation will be made at random. Winners of a bottle of Ole Bison Bourbon must be aged 18 years or over and may be required to provide proof of age before the prize is handed over or dispatched. If satisfactory proof of age cannot be provided, Leonardslee Wine Estate reserves the right to select an alternative winner.

The draw will take place following the closing date, and winners will be notified on Instagram and/or by email before the Casks & Vines event on 21 August 2026.

Winners will be contacted via Instagram direct message or by email, depending on their method of entry & will be requested to collected their prizes at Leonardslee Wine Estate.

If a winner cannot be contacted or does not claim their prize within 48 hours of notification, Leonardslee Wine Estate reserves the right to select a replacement winner from the remaining eligible entries.

The prize is non-transferable and cannot be exchanged for cash or any alternative item.

The winner's name may be published on Leonardslee Wine Estate's social media channels unless the winner objects to such publication.

This competition and these Terms & Conditions are governed by English law and subject to the exclusive jurisdiction of the courts of England and Wales.

This promotion is in no way sponsored, endorsed, administered by, or associated with Instagram, Meta, or any other social media platform.

All personal information relating to participants will be used solely in accordance with applicable UK data protection legislation.

By entering, participants acknowledge that their personal information may be used solely for the administration of the competition and fulfilment of prizes.

Leonardslee Wine Estate reserves the right to shorten, extend, suspend, amend, or cancel the competition where necessary due to circumstances beyond its control or for operational, technical, or commercial reasons. Any changes will be communicated via Leonardslee Wine Estate's official marketing channels.

Participants must be aged 18 years or over to receive a bottle of Ole Bison Bourbon. Other prizes are open to entrants aged 18 years or over, or those under 18 with the permission of a parent or legal guardian.
